Set Up a Collaborator Account for OneText

Collaborator account will allow OneText to securely access your store for setup, development, or troubleshooting.
Collaborators don’t count toward your store’s staff limit and can be managed directly from your Shopify admin.

Before You Begin

To help protect your store, all collaborators must have two-step authentication enabled in their Shopify Partner account before logging in.

🔒 Tip: Without two-step authentication, OneText won’t be able to access your store.

Step 1: Share Your Collaborator Access Code

  1. In your Shopify admin, go to Settings → Users (or Users & permissions if your store isn’t part of an organization).

  2. Click Security.

  3. Under Collaborator access code, click to Copy the 4-digit code.

  4. Send this code to OneText.

🧩 Only users with this code can request access to your store.

Step 2: Review and Approve OneText Requests

  1. When OneText submits a request, you’ll receive an email and a notification in your Shopify admin.

  2. Go to Settings → Users and filter by Requests.

  3. Click the request to review the permissions being requested.

  4. Choose one of the following:

    • Edit permissions or assign an existing role.

    • Accept request to approve access.

    • Reject request if you don’t want to grant access.

Note: If you see “The role name already exists,” remove the auto-generated role and assign an existing one instead.

Step 3: Manage OneText Permissions

After approval, you can adjust OneText roles and permissions at any time:

  1. Go to Settings → Users → OneText → Roles.

  2. Update permissions as needed.

Collaborator access automatically expires after 90 days of inactivity.
You can reactivate expired access from the Users and permissions page.

Step 4: Remove or Update OneText Access

When you no longer need a collaborator to have access:

  1. Go to Settings → Users.

  2. Click OneText.

  3. Select Remove OneText account and confirm.

You can also generate a new OneText access code under Security to prevent new requests with an old code.

🚫 Removing OneText permanently deletes their access but keeps their actions logged in your activity history.
